About the job
What we do:
Rebsamen Management AG provides the central services for our group of companies. This includes the areas of administration, business development, human resources, IT and finance.
Our group consists of six companies with around 160 employees at the locations Horw, Lucerne and Zurich. Together we operate in building technology and combine planning and execution under one roof – from demanding HVACSE and building automation projects to complex building automation controls and security and audio-video solutions.
With our diverse expertise, we support exciting projects throughout their entire lifecycle and benefit from close collaboration within our group.
We are strengthening our administration team and look forward to meeting you!
What to expect from us:
You will have a versatile commercial role right in the heart of our group. You will support our team in administration and accounting and jointly manage our front office in job sharing at the Horw location with a colleague.
Your daily work consists of routine as well as varied tasks, which you will increasingly perform independently and reliably after thorough training. You can actively contribute your organisational talent, numerical understanding and commercial skills, think along and take responsibility for the tasks assigned to you.
You will work closely with our administration clerk and our finance & accounting specialist and support both in the operational handling of their tasks. At the same time, you will jointly manage our front office in job sharing with another employee and thus be an important point of contact for our employees, customers and business partners.
This means a versatile role with different tasks and development opportunities – ideal for a person who likes to organise, work with numbers, think ahead, get stuck in and keep an overview even with several parallel tasks.
Your regular workplace is Horw. For certain tasks, especially related to invoicing, as well as in case of staff shortages or operational requirements, occasional assignments at our Zurich location may occur.
Since you and a colleague ensure the presence of our front office, your role is basically tied to fixed working hours on site.
There is no home office option for this position.
What you will do with us:
Together you ensure that our front office runs smoothly!
You will manage our front office together with a colleague in job sharing and be an important contact point for our employees, customers and business partners.
Together you will handle the daily tasks of our front office, including:
- Telephone & reception under control: You manage our telephone switchboard, welcome customers, business partners and visitors and are the first point of contact for internal and external concerns
- Organisation around the front office: Together with your colleague you manage the central mail accounts, coordinate incoming and outgoing mail and take care of meeting rooms, general premises and other administrative and organisational tasks.
Numbers are your thing? Support us in accounting!
You will work closely with our finance & accounting specialist. After your training, you will increasingly handle the tasks assigned to you independently and take responsibility for their correct and timely execution.
- Creditors under control: You check, record and post creditor invoices and support their processing as well as payment runs.
- Debtors & invoicing: You prepare invoices according to specifications and work closely with our accounting department and the responsible project managers.
- Directly at our projects: For certain invoicing tasks you will occasionally be at our Zurich location and coordinate the necessary basics directly with the project managers.
- Cash & expense reports: You take care of our cash registers and expense reports and ensure that everything is fully and correctly recorded and posted.
- Dunning & bank postings: You support dunning, bank transactions and bank reconciliations.
- Reportings & closings: You contribute to financial and project evaluations, reportings, VAT returns as well as monthly and annual closing tasks.
- Clean accounting: You ensure complete filing and archiving of the accounting documents assigned to you.
Organisation is your strength? Support our administration!
Together with our administration clerk you ensure that everything runs smoothly in the background. Here too, you will gradually take on your own tasks with increasing training.
- Offers & tenders: You compile documents for tenders, submissions and offers, process forms and ensure that entries are complete and submitted on time.
- Project administration with overview: You support project openings and changes, maintain project information and assist with contracts, evaluations and other administrative project tasks.
- Keep master data up to date: You maintain customer, supplier and other relevant master data.
- Organisation in everyday life: You take care of hotel bookings, office supplies and other orders, among other things.
- Our vehicles in view: You support the management of our pool and company vehicles and coordinate administrative vehicle matters.
- Support where needed: You support our management, executives, project managers and employees with various administrative and organisational tasks.
... and beyond that you contribute in many ways!
What you bring with you:

- Ideally, you have some professional experience after your training in administration and/or accounting.
- You are good with numbers and have good basic accounting knowledge.
- You work reliably, carefully, structured and on time.
