With nearly 1,200 employees, the Department of Acute Medicine (D-MA) includes anesthesiology, clinical pharmacology and toxicology, adult intensive care, and adult emergency services. It fulfills a fourfold mission through its services, which provide expertise in frequent interaction with all University Hospitals of Geneva, thanks to a transversal platform, aiming to ensure the best possible patient care.
The multidisciplinary pain consultations aim to offer an evaluation and multidisciplinary management to improve pain and/or pain management, as well as to improve the physical, psychological, social, and professional functioning of patients. The consultation team develops an individualized therapeutic program adapted to each patient's situation.
The medical specialties represented in the consultations are: anesthesiology, clinical pharmacology and toxicology, general internal medicine, physical medicine and rehabilitation, neurology, psychiatry, and rheumatology. The team also includes psychologists, specialized nurses, and pharmacist pharmacologists.
In addition to the care directly provided to patients, the multidisciplinary pain consultations are also responsible for organizing and providing pre-, postgraduate, and continuing education in pain management, as well as implementing clinical research protocols.
Job Description
You will handle all administrative tasks related to the pain consultation, which is directly attached to the Department of Acute Medicine.
You manage the scheduling of consultations (appointment booking, invitations, file preparation, document scanning) and organize additional examinations, while ensuring the proper follow-up of the medical file and the patient’s trajectory.
You handle telephone reception and the physical welcoming of patients and/or their relatives.
You manage patient and insurance files and complaints (follow-up, typing documents, research, filing, scanning) and participate in the follow-up of files for billing. You enter and update statistics related to the activity.
You organize and prepare multidisciplinary conferences.
You draft and format various documents (correspondence, minutes, medical reports, reports, development/update of procedures, etc.) and perform logistical tasks such as work requests, stock management, and room reservations.
Thanks to your interpersonal skills, you develop a close relationship with your colleagues and ensure service continuity by covering absences. More generally, your service-oriented mindset makes you an agile person ready to use your versatility to serve the institution by working in different departments as needed.
Qualifications
You hold a diploma as a medical secretary or equivalent training.
You have 3 to 5 years of successful experience in a similar position within a medical secretariat.
You have perfect mastery of written and spoken French and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
You have very good knowledge of computer tools (advanced ECDL level on Word and standard on Excel REQUIRED) as well as software used at HUG (DPA, DPI, GRECO, Qualiac, Opale).
With a good team spirit, you are able to work in a shared office with several secretaries.
While having excellent organizational and prioritization skills, you are autonomous, dynamic, rigorous, and precise in the tasks assigned to you.
You also possess tools to handle unforeseen events and easily manage stressful situations. Finally, you demonstrate a strong sense of confidentiality.
