Attached to the Office of the Director and External Affairs , the executive bodies sector of the HUG manages the administrative process for drafting decisions made by the HUG executive bodies, notably the Board of Directors (BoD), the Board of Directors’ Office (BoDO) and the Executive Committee (EC). It transmits these decisions to political authorities, HUG structures, and the directly concerned employees. It coordinates with the documentary reference sector the creation and publication of official institutional documents resulting from the decisions of the bodies.
Job Description
Under the supervision of the administrative head of the executive bodies, you manage and coordinate the administrative activities of the meetings of the HUG executive bodies: Executive Committee, Board of Directors’ Office and Board of Directors. You ensure the administrative follow-up of these meetings and the decisions taken. You make sure to review correspondence, documents and files related to the areas handled by the executive bodies. You are responsible for ensuring with the management that both the quality of the files and the deadlines for submitting the files are respected, providing necessary support if needed.
Furthermore, you also perform secretarial tasks delegated by the head of the executive bodies. You participate in establishing meeting schedules, timelines and dashboards. You actively collaborate with the HUG documentary reference sector and verify the publication and updating of documents related to the decisions made by the bodies.
Qualifications
You hold a Federal VET Diploma as a commercial employee or an equivalent qualification and have already worked in an administrative role, ideally with executive bodies or in a complex environment.
With perfect command of the French language, you demonstrate impeccable writing skills. You possess very good knowledge of office tools, especially collaborative tools, with proficiency certified by an ECDL level or deemed equivalent.
You have a keen sense of organisation and demonstrate great rigour. Autonomous, you show good initiative, analytical skills and speed of execution. You have excellent stress and priority management, as well as great discretion and interpersonal skills.
