About the job
Assistant to the Department Head (m/f/d)
ETH Zurich adheres to the highest international standards in teaching, research and administration. The Campus Services department supports teaching, research and administration in the areas of logistics, mobility and events. It also ensures comprehensive information management and orientation at ETH Zurich and is responsible for the gastronomy and retail offerings.
For our department management, we are looking for an experienced, independent and trustworthy individual to support our Head of Campus Services and the management team in the demanding day-to-day business from 1 December 2026 or by arrangement. In this key role, you hold many threads together, recognise the need for action early and create added value where support is needed. You think not only along but ahead.
Job Description
You support the Head of Campus Services and the management team in administrative, organisational and coordinative tasks, ensuring that processes function efficiently and smoothly. You coordinate and organise appointments, workshops, meetings and events, prepare documents and keep an overview even with parallel topics.
As a central contact person, you operate in a dynamic environment with different stakeholders and sensitive topics. You gain insight into strategic, personnel and organisational issues and contribute significantly to the success of the management team with your discretion, judgement and high professionalism.
In addition to classic management assistance, you act as a proactive hub within the department. You identify optimisation potentials, contribute your own ideas and take responsibility for the further development of processes and working methods. Organising and following up on events, supporting personnel processes from entry to exit, and accompanying new employees during onboarding are also part of your responsibilities, as is coordinating IT orders and workplace preparations.
Furthermore, you actively shape internal communication, maintain and further develop digital information platforms, and ensure that information is prepared and accessible in a target group-oriented manner. You take on coordination tasks in projects and apply your affinity for digitalisation and modern technologies purposefully.
Profile
- Several years of experience in a demanding assistant, coordination or administration role, ideally in the environment of executive bodies or management teams
- High degree of independence and the ability to set priorities responsibly and maintain an overview even in complex situations
- Strong organisational skills, networked thinking and a perspective beyond the immediate scope
- Proactive, solution-oriented personality with high initiative and a strong service orientation
- Confident and absolutely discreet handling of confidential, sensitive and personal information
- High digital affinity and interest in new technologies, digitalisation and artificial intelligence
- Very good user knowledge of Microsoft 365, SharePoint and modern digital work tools
- Fluent German skills as well as very good English skills in spoken and written form
- Strong communication skills, diplomatic tact and enjoyment in collaborating with diverse stakeholders
- Structured, reliable and quality-conscious working style as well as a high sense of responsibility
- Mature personality with pronounced judgement and professionalism
Those who take responsibility, think along and want to actively shape change will find an environment here where ideas are welcome and initiative is appreciated.
In short: You are much more than administrative support. You are a sparring partner, an organisational hub and a trusted support for the department management and the entire management team.
