About the job
The Secretary General's Office is the central staff unit of the Rectorate and supports the university management in legal, organizational, and coordinative matters. It is responsible for the management of central committees and contributes its expertise to efficient and responsible leadership. The Secretary General's Office includes the units Committees, Legal Service, Data Protection & Compliance, as well as Records Management and Archiving.
Your tasks
- Administrative and organizational assistance to the Secretary General
- Scheduling and coordination, preparation and follow-up of meetings and sessions of internal committees
- Coordination and support in projects, special tasks, and business planning of the committees
- Independent handling of inquiries in German and English
- Responsibility for the structured preparation and management of confidential information and documents
Your profile
- Specific further training in executive assistance or comparable qualifications
- Several years of experience in an assistant role at management or administrative level
- Very good written and spoken expression in German and English
- Confident handling of demanding administrative tasks and document management
- Experience in organizing committees, meetings, and sessions
- IT-savvy personality with very good M365 skills, especially in structured document creation with Word templates
- Interest and willingness to participate in internal digitization and IT projects
- Independent, reliable, and team-oriented working style
- Flexibility and commitment in a dynamic, management-related environment
