About the job
Assistant Project Manager M/F at 50%
The Riviera-Chablais Hospital, Vaud-Valais (HRC), is a leading intercantonal hospital, bringing together more than 2,500 employees. The Rennaz Hospital Centre has over 350 acute care beds. It is complemented by two Geriatrics and Rehabilitation Clinics as well as two medical on-call services. All employees are committed daily to providing quality care to patients, embodying the institution's values: authenticity, exemplary conduct, and innovation.
The Organisational Development Directorate (DDO) leads the institutional projects of the Riviera-Chablais Hospital, optimises organisation and workflows, and enhances quality and patient experience. Composed of experts in project management, organisational engineering, continuous improvement, and quality management, it supports both frontline teams and management in implementing concrete solutions.
A hospital is one of the most fascinating environments: hundreds of professions, intertwined patient and logistical flows, critical information systems, and constant human challenges.
In this environment, major transformations depend not only on big decisions but on those who can bring order to complexity. The right planning, the authoritative report, the follow-up that unlocks, the information reaching the right person at the right time—this is what drives a project forward, and it is precisely the talent we are seeking.
To complement the Organisational Development Directorate (DDO), we are looking for a:
Assistant Project Manager M/F at 50%
This position is aimed at a structured and curious mind, interested in discovering the hospital world from within and wanting to be concretely useful there, with a 50% workload that combines well with ongoing studies, another activity, or a lifestyle choice.
The main responsibilities of this position are
- Provide reliable operational and administrative support to project managers and flow & organisation engineers: prepare and keep steering documents up to date (schedules, action lists, decision and risk logs), follow up with contributors and proactively report delays or blockages
- Organise and document project activities: schedule meetings and workshops, agendas, reliable minutes and decision records, dissemination and follow-up of resulting actions
- Contribute to information gathering from the field: interviews with nursing, medical, administrative and logistical teams based on guides prepared with the project manager, observation of practices and structured documentation of findings
- Support the quality of deliverables: prepare test scenarios with users and IT teams, organise and monitor test campaigns, record results and anomalies
- Participate in project communication: formatting presentations and information notes, intranet content, support event organisation (information sessions, demonstrations)
- Provide administrative support within the Organisational Development Directorate: intranet management, institutional communication, filing and archiving project documentation according to service standards
Depending on institutional priorities, you will contribute, for example, to projects such as the implementation of the future electronic patient record (EPR), process digitalisation, and improving patient experience.
We require
Education & certifications
- Bachelor's degree (university, university of applied sciences) in management, economics, engineering, health or equivalent training
Experience
- Some initial experience (internship, job, apprenticeship) in a project environment, demanding administrative service or coordination role is an asset
- Experience in the hospital environment is not required: your curiosity and adaptability in a complex environment matter more
Skills & know-how
- Ability to organise, prioritise and monitor multiple tasks with rigour and reliability: this is the core of the role
- Good writing skills: clear and neat minutes, reports and presentation materials
- Understanding of basic project management concepts (milestones, deliverables, risks, stakeholders); knowledge of process mapping is a plus
- Excellent command of office and collaborative tools (Office suite, Teams/SharePoint or equivalents); knowledge of project management tools (MS Project, Planner, Jira...) or programming languages (Python, SQL...) is an asset
Interpersonal & behavioural skills
- Interpersonal qualities: listening, diplomacy and ease with various interlocutors (nurses, doctors, administrative, technical staff)
- Solution orientation and service mindset: pragmatism and concern for facilitating others' work
- Reliability in commitments: at 50%, every hour counts, and the team must be able to count on you
Languages
- Good command of French, spoken and written (required)
- Knowledge of English (minimum B1 level)
We offer
- A useful position, immediately: your work is visible every week: better-prepared sessions, reliable follow-ups, project teams relieved of what slows them down. You are not a temporary post: you are what holds the daily projects together.
- A unique window into the hospital world: few positions offer such an overview of hospital operations, from operating theatres to management, from logistical flows to information systems.
- A 50% workload that respects your balance: a workload compatible with studies, another activity or a lifestyle choice, in a team that organises work accordingly.
- Meaningful projects: every schedule met, every test passed, every well-prepared session concretely contributes to improving care and patient experience.
- A modern environment: a recent hospital, ranked among the best employers in French-speaking Switzerland (in 2021, HRC was twice ranked among the best employers in French-speaking Switzerland by Bilan magazine and Le Temps newspaper, placing it as a leading institution)
- An exceptional work region, between lake and mountains.
