Job Description
The Department of Astronomy at the University of Geneva is a globally recognised centre both for the excellence of its research and for its significant contributions to the development of future major astrophysics projects, whether ground-based or space-based.
Within this framework, we are seeking an Administrative Assistant to ensure the administrative management and operational financial monitoring of the Department of Astronomy and its research groups.
The person is the primary interface with central accounting, for which they prepare, secure, and submit complete and verified files, thus enabling the execution of accounting operations.
In parallel, they constitute the first point of contact for fund holders concerning:
- the management of their funding requests,
- budget management and advice,
- financial monitoring during projects.
The recruit also ensures the overall monitoring of the Department's funds, notably through:
- maintaining and updating dashboards,
- producing regular reports,
- compiling statistics.
They play an advisory and awareness-raising role with researchers and collaborators to ensure the proper use of resources and compliance with financial directives.
Required Qualifications and Skills
Commercial Professional Maturity or equivalent.
At least 3 years of professional experience in administration, ideally in an academic environment.
Good command of English (level B2)
Excellent mastery of office and collaborative tools (Office Suite, SharePoint, email, etc.)
Proficiency in institutional financial tools (SI-finances, SI-purchasing)
Knowledge of the management rules of various funds
Personal Skills:
Proactivity, flexibility, adaptability
Service orientation
Organisational and planning skills
Autonomy and rigour in following procedures
Sense of confidentiality
