Interim Head of Administration 100%
Your Tasks
- Professional, personnel and organisational management of the Administration department as well as leadership and development of the administration team
- Ensuring a professional and customer-oriented reception and administration service for residents, relatives, interested parties and external partners
- Responsibility for the rental of apartments, parking spaces and care rooms including support and advice for interested parties, conducting viewings and maintaining the CRM system
- Organisation and assurance of administrative processes in the areas of reception, switchboard, secretariat, resident administration, invoicing and billing
- Support of management and department heads with administrative tasks, projects, budget processes, monthly closings and organisational matters
- Ensuring correct resident administration and billing processes as well as further development of internal procedures and quality standards
- Coordination of various operational interfaces such as IT support, website, external contacts and allocation of holiday apartments
- Preparation of minutes, statements and administrative documents for internal and external stakeholders
- Leadership and development of the administration team including personnel deployment planning, team meetings, employee appraisals and promotion of further training
Your Profile
- Completed commercial basic training and several years of professional experience in a comparable role
- Experience in care financing
- Training as a vocational trainer is an advantage
- Very good knowledge of the MS Office suite and strong IT affinity
- Confident German language skills in spoken and written form as well as enjoyment in writing texts and correspondence
- Experience in healthcare
- Knowledge of websites/CMS systems is an advantage
- High quality standards for own work as well as a structured, reliable and solution-oriented working style
- Quick comprehension and organisational skills
- Strong customer and service orientation as well as enjoyment in contact with people
- Good networking in the region and confident appearance as a representative of the institution
- Flexibility, resilience and personal responsibility in everyday work
- Respectful and appreciative interaction with elderly people
