The opportunity
In this dynamic role, you will support the Facility Manager in ensuring the efficient day-to-day operation of the site while contributing to a positive workplace experience for employees, visitors, and external partners. You will play an important role in coordinating workplace and facility services, supporting administrative and operational activities, and ensuring a safe, well-organized, and welcoming work environment. As part of the Facility Management team, you will work closely with internal stakeholders and external service providers, while also serving as a backup for the Reception function during vacation or sickness absences. This position offers a broad range of responsibilities and the opportunity to further develop your coordination, customer service, and facility management skills in a collaborative environment.
How you'll make an impact

Support the Facility Manager in the day-to-day operations and overall management of the site while coordinating and overseeing workplace and facility management services.

Serve as the primary point of contact for facility-related inquiries and workplace support activities

Coordinate maintenance, repair, and preventive maintenance activities with external vendors and service providers

Manage purchase orders, invoices, reports, documentation, and other administrative processes

Support workplace-related projects, office relocations, workspace planning, and continuous improvement initiatives

Oversee meeting room management, support daily workplace operations, and conduct regular facility inspections and building walkthroughs to maintain high workplace standards

Support health, safety, emergency evacuation, and first aid initiatives in compliance with company policies

Build and maintain strong relationships with internal stakeholders, suppliers, and external partners while ensuring the delivery of high-quality workplace services and a positive employee experience

Provide backup support for Reception during vacation periods and other absences, including managing visitor registrations, site access procedures, incoming calls, and reception communications

Represent the company professionally as the first point of contact for visitors and external stakeholders
Your background

Completed commercial apprenticeship or equivalent qualification

Experience in Facility Management, Workplace Services, Office Management, Administration, or a similar role is an advantage

Strong organizational and coordination skills with the ability to work independently, prioritize tasks effectively, and take ownership

Excellent communication and interpersonal skills, combined with a service-oriented, professional, and customer-focused approach

Positive and proactive mindset, strong problem-solving skills, and attention to detail

Proficiency in Microsoft Office applications as well as very good German and good English language skills
