As part of the construction of condominiums (PPE), we are looking for a PPE Assistant - 6-month fixed-term contract. Initially, you will provide essential administrative support to the PPE team and contribute to the quality of file monitoring. Finally, you ensure rigorous traceability by keeping all documents up to date, validating and filing them in a structured manner.
Main tasks:
- Prepare and establish quotes for clients;
- Verify the accuracy of information and compliance of submitted documents;
- Ensure administrative follow-up of PPE files;
- Update and maintain tracking tables and databases;
- Check that clients have the correct documents and versions of quotes;
- Carry out necessary reminders and monitor deadlines;
- Prepare administrative documents required by PPE managers;
- Participate in the organisation and filing of files.
This initial phase requires great rigour, excellent organisational skills and strong attention to detail.
After an integration and training period, you will gradually develop your autonomy and take on additional responsibilities, including:
- Ensure administrative follow-up of buyers throughout the process;
- Manage and monitor invoicing related to buyers’ variations in value;
- Be a key contact for certain common requests;
- Coordinate exchanges between buyers, companies, partners and managers;
- Ensure deadlines are met and information flows smoothly;
- Monitor buyer modifications and their documentation;
- Participate in the continuous improvement of monitoring and communication processes.
You bring:
- Commercial, administrative or equivalent training;
- Proven initial experience in an administrative role, ideally supporting PPE buyers / finish choices / showrooms in Switzerland, construction or a project management environment;
- Strong skills in reading plans and technical coordination.
- Excellent command of office tools, especially Excel;
- Documentary rigour, planning skills and strict respect for milestones.
- Organisational skills and ability to manage several files simultaneously;
- Good interpersonal skills and service orientation;
- Team spirit, discretion and reliability;
- Ability to work methodically and autonomously.
- Customer and results orientation; ability to manage several lots/apartments in parallel
