In Bern, actifutura gmbh will launch the Professional Integration programme "BINplus" on 1 January 2027. On behalf of the Office for Unemployment Insurance (AVA), we already support job-seeking individuals in Interlaken and Thun in a personalised, practical, and appreciative manner on their way back to the primary labour market.
For our new team in Bern, we are looking for a committed, digitally savvy, and entrepreneurial-minded individual as of 1 December 2026 for the position of
Deputy Head of Coordination Offices for Labour Market Integration, 80 - 100 %
In this role, you will take on far more than classic administrative and coordination tasks. You think across locations, digitally and networked, recognise connections between processes, data, and systems, and together with the Head of Coordination Offices, contribute to developing our administrative procedures efficiently, reliably, and with a future focus.
Your responsibilities:
- Core administrative processes: You ensure attendance controls, prepare and submit AMM certificates for unemployment insurance funds, and handle other administrative processes within the scope of service contracts.
- Quality management: You participate in quality assurance, the further development of processes, as well as in the documentation and implementation of QM requirements.
- Interfaces: You work closely with programme managers, specialists, quality management, administration, and executive management to ensure smooth information flow.
- Procurement and cash book: You coordinate purchasing and monitor stocks of vending machine, office, and training materials, and maintain the internal cash book reliably and transparently.
- Annual places: You coordinate registrations, admissions, and capacities, ensuring efficient and forward-looking utilisation planning.
- Reception and communication: You take on tasks at reception, in the telephone switchboard, and general administration, serving as a competent contact person for participants, RAV personnel consultants, and other stakeholders.
- Deputy management and responsibility: You support the Head of Coordination Offices in administrative, organisational, coordinative, and conceptual matters at the Bern, Thun, and Interlaken locations and deputise during their absence.
- Staff: You assist in leading and informing the staff of the coordination offices and, together with the Head, ensure uniform, efficient, and reliable workflows across all locations.
- Digital systems and data: You ensure reliable use and coordination of various digital systems – especially Isyflow, space management, attendance control, and reporting. You pay attention to high data quality, support staff in application, and contribute to the further development of systems and reporting.
You have:
- A professional or educational qualification at least at upper secondary level II and several years of professional experience in a demanding administrative, coordinative, or comparable role
- The ability to think strategically, analytically, and networked, deriving concrete improvements from data, processes, and organisational contexts.
- A quick grasp and the ability to independently familiarise yourself with new software solutions, digital tools, and complex procedures.
- Strong organisational talent and the ability to keep an overview of processes, deadlines, data, and responsibilities even with numerous parallel tasks.
- Pronounced IT affinity and very good understanding of digital contexts – excellent and in-depth knowledge of the Microsoft Office/Microsoft 365 suite. Ideally experience with case management software, databases, reporting or planning systems, and/or in a coordination office for labour market integration.
- Entrepreneurial thinking and acting, initiative, and the aspiration not only to complete tasks but actively contribute to the organisation's development.
- Leadership competence or initial leadership experience or the willingness and potential to take on leadership responsibility.
- A confident manner and an independent, structured, solution- and service-oriented working style.
- Strong team and communication skills and enjoyment in collaborating with diverse internal and external stakeholders.
- A positive and motivating presence as well as an appreciative, open attitude towards people from different social and cultural backgrounds.
- Very good German language skills, both spoken and written.
- Basic knowledge of quality management is an advantage.
- Experience in simple accounts receivable bookkeeping and cash management is desirable.
