As an Executive Assistant, you support the Director and the Head of Institute Management of the Swiss Paraplegic Research with organisational and administrative tasks. As part of the administration team, you contribute to ensuring that central processes run reliably and that our researchers can focus on their work for people with spinal cord injuries.
These are your tasks
Executive and Management Support
- Independent coordination of the agendas of the Director and the Head of Institute Management, including proactive scheduling, prioritisation, and careful preparation of all appointments and commitments
- Creation of correspondence, documents, and presentations in German and English
- Coordination of external collaborations and networking activities with national and international partners, including correspondence and scheduling
- Preparation and follow-up of important meetings, including compilation of documents, minute-taking, and tracking of decisions and pending items
- Support in organising, documenting, and following up on management and governance processes
- Coordinative support in administrative personnel processes in collaboration with the responsible HR departments
- Organisational support for onboarding new employees as well as maintenance and updating of relevant documents and information
- Support for employees with organisational matters and participation in the planning and organisation of internal events
- Organisation of travel and conference participation as well as processing of expense claims
- Support with budget, contract, and procurement processes
What distinguishes you
- You have a commercial apprenticeship or an equivalent qualification as well as several years of experience in a demanding assistant role. Experience at executive or directorate level and knowledge of the higher education, research, or healthcare environment are advantageous.
- Thanks to your strong organisational and prioritisation skills, you reliably meet deadlines and keep an overview even with parallel and changing tasks.
- You are proficient in Microsoft 365 and use digital tools purposefully to make collaboration efficient and to further develop administrative processes.
- You work proactively and service-oriented, independently obtain the information you need, and solve recurring challenges pragmatically.
- You work reliably, thoughtfully, and solution-oriented even under high workload.
- You communicate confidently in German and English, both orally and in writing.
- In contact with researchers, administration, and external partner organisations, you present yourself confidently and reliably. Integrity and absolute confidentiality in handling sensitive information are a matter of course for you.
