Founded in 1460, it is the oldest university in Switzerland with a successful history spanning over 550 years. Within the University of Basel, the Directorate of Infrastructure & Operations is responsible for the operation, maintenance and modification of all properties used by the University of Basel. The Controlling & Procurement Coordination department is the central body supporting the economic management of the Directorate. Furthermore, the department is responsible for coordinating all major procurements of the University of Basel.
Your Tasks
You will significantly support the organisation in recording and monitoring all relevant contracts and assist the heads of the Controlling & Procurement Coordination and Building Technology & Operations departments with various operational activities. Your main tasks are:- Review of new or amended contracts
- Recording new or amended contracts in the contract database
- Timely monitoring of ongoing contracts
- Review and accounting of rental payments
- Economic management of the University of Basel’s foundation properties
- Participation in the annual financial statements
- Support and implementation of public tenders
- Simple evaluations in MS Excel, drafting of letters
- General assistant duties such as mail distribution, coordination of appointments, preparation of meetings and departmental events, first telephone contact in the absence of the two department heads, etc.
Your Profile
As part of a succession due to an upcoming retirement, we are looking for an independent personality with a strong flair for numbers and organisational talent for this important role. You are used to working precisely and reliably and never lose sight of the essentials even in hectic moments. For this, you bring the following knowledge and experience:- Completed commercial training, as a property manager or a comparable qualification
- Proven several years of experience in contract administration and/or property management
- Very good German skills in spoken and written form
- Very good IT skills (Microsoft, SAP), affinity for digital solutions
- Good English skills are an advantage
