About the job
As an Events & Groups Coordinator, you are the primary contact for our clients for the organisation and follow-up of their events. You ensure coordination between the sales, operational teams and clients to guarantee smooth execution and an exceptional experience, from event confirmation to post-event follow-up.
Your main responsibilities
Event management and coordination
- Handle and follow up all incoming requests related to corporate & social groups and events through all communication channels.
- Coordinate all hotel services to ensure flawless event execution.
- Manage accommodation bookings for groups and integrate rooming lists.
- Prepare commercial proposals, quotes and event confirmations in collaboration with clients.
- Organise and lead pre- and post-event meetings with various departments.
- Read, analyse and prepare event files as well as Banquet Event Orders (BEO) to ensure clear understanding of client needs.
- Determine setup schedules, space configurations, specific client requirements, buffets, service stations and other operational needs.
- Participate in site visits and present facilities to clients when necessary.
- Manage post-event billing & commissions.
Client relations
- Be the main client contact throughout the process (before, during and after the event).
- Ensure presence during events to verify that all agreed arrangements are respected.
- Conduct post-event follow-up to measure client satisfaction and identify areas for improvement.
Business development
- Identify opportunities and propose complementary services tailored to client needs.
- Generate additional revenue through the enhancement of the establishment’s services.
- Contribute to optimising revenue related to events, rooms, catering and ancillary services.
- Ensure compliance with the establishment’s quality standards and brand standards.
Profile sought
- Training and/or experience in hospitality, tourism, events, management or equivalent field.
- Proven initial experience in event organisation, group coordination, hospitality or client project management.
- Excellent organisational skills and keen attention to detail.
- Excellent interpersonal skills and strong client orientation.
- Ability to manage multiple files simultaneously in a dynamic environment.
- Excellent written and oral communication skills.
- Team spirit, flexibility, positive attitude and service mindset.
- Ability to anticipate, solve problems and take initiative.
- Curiosity and willingness for continuous learning.
- Proficiency in IT tools and hotel or event software.
- Fluent French and English essential; any other language is an advantage.
