About the job
Our established outpatient location is currently undergoing a phase of structural development. In this key role, you will not only take on classic secretarial tasks but also actively shape the organisation and further development of administrative processes.
Responsibilities
- Overall responsibility for the organisation and smooth management of the medical secretariat at the location
- Ensuring efficient, professional, and timely administrative processes
- Coordination and further development of patient admission as well as being the central point of contact for patients, relatives, and external partners
- Planning and management of appointment scheduling for the interprofessional treatment team
- Establishing, documenting, and continuously optimising processes and workflows, taking into account internal and external requirements
- Writing, editing, and managing medical correspondence as well as ensuring complete and accurate patient documentation
- Supporting the team in daily operations and taking on a variety of administrative tasks
- Participating in team meetings including minute-taking
Profile
- Completed commercial training or comparable qualification, ideally supplemented by further training as a medical secretary
- Several years of professional experience in the medical field, preferably in outpatient care
- Strong organisational talent and enjoyment in structuring and developing processes
- Independent, precise, and efficient working style with interconnected thinking
- Resilient, flexible, and team-oriented personality with a high sense of responsibility
- Empathy and professional communication skills in dealing with children, adolescents, and their caregivers
- Confident command of German, both spoken and written
- Very good IT user skills (e.g. clinical information systems, MS Office, SAP)
