Specialist: Executive Support, Quality Management and Projects
Tasks
In this varied staff function, you support the medical director and the finance director as well as a department head and further develop quality management. You quickly grasp complex issues, prepare information appropriately for the target audience and independently complete tasks and smaller projects.
Your tasks
- Supporting management with organisational, administrative and conceptual tasks
- Preparation and follow-up of executive and department meetings including precise minute-taking and consistent tracking of action items
- Independent investigations and preparation of well-founded decision-making bases, presentations and reports
- Leading and coordinating small and medium-sized projects
- Maintaining and further developing document control and the process landscape for quality management
- Supporting review, approval and audit processes as well as the professional development of the Microsoft 365-based QMS platform
Profile
- Commercial basic training with further education in executive assistance and project management or Bachelor/Master degree in business administration or a comparable field with further education in project management
- Experience in at least two of the areas of executive support, staff work, project management or quality management
- Expert knowledge and further training in process and project management
- Strong ability to analyse, structure and reduce complex information to the essentials
- Very high proficiency in minute-taking and confident German language skills in spoken and written form as well as very good English skills
- Independent, responsible and pragmatic working style as well as high initiative and strong solution orientation
- Very good knowledge of Microsoft 365, especially Teams, SharePoint, Excel, Word and PowerPoint
- Diplomatic and binding manner, service orientation as well as enthusiasm for digitalisation and continuous improvement
In-depth knowledge of a specific QMS system is not required. What matters is your willingness and ability to independently familiarise yourself with new topics and develop viable solutions.
