Job Description
The Faculty of Medicine of the University of Geneva benefits from an enriching multicultural dynamic to which it contributes through its influence within the mandates it has set itself: teaching, research and its partnership with the Geneva University Hospitals (HUG).
The Quality of Care Service provides training to medical students and health professionals (postgraduate) through a number of teaching arrangements, notably the CAS/DAS quality-safety programme.
To strengthen its team, the Quality of Care Service (SQS) is looking for a:
Administrative Clerk at 50%
The post holder’s main mission will be to provide administrative assistance to the educational coordinator and the administrative coordinator of the CAS/DAS quality-safety continuing education programme, with the following key tasks:
Updating the general retro-planning of the programme according to the deadlines provided.
Participating in the preparation of team meetings, preparing the agenda, taking notes and drafting minutes.
Filling in and updating tracking tables for registrations, attendance, validations.
Archiving documents provided by the team (teaching materials, syllabuses, framework documents).
Preparing summary files or tables requested for annual reports.
Scheduling and organising group sessions with students.
Compiling and filing documents submitted by students and tutors (reports, follow-ups).
Updating tracking tables for planned/completed tutoring hours.
Preparing document templates (project sheets, checklists, frameworks) to be given to students.
Welcoming participants and monitoring attendance (sign-in sheets, managing absences, updating lists).
Organising the distribution of post-training materials and evaluation questionnaires.
Archiving administrative documents in shared directories.
Required Qualifications and Skills
Federal Certificate of Capacity (CFC) as a commercial employee or equivalent training.
Minimum 2 to 3 years of administrative experience in an educational setting or equivalent.
Interest in teaching in the field of quality.
