Your tasks
You provide administrative support to the prefect as well as to the prefecture's project sector.
- Managing meetings organised within the framework of projects (topics, notes, presentations, etc.) under the direction of the prefect or the project manager - also within the framework of municipal associations chaired by the prefect
- Supporting the prefect and the project manager in logistical aspects: booking dates, premises, necessary infrastructure, etc.
- Maintaining the prefect's diary, organising appointments, preparing meeting files, carrying out various administrative tasks and filing documents
- Setting up and managing a weekly organisational meeting with the prefect; maintaining necessary contacts with the relevant municipal association representatives
- Receiving, distributing and following up on mail addressed to the prefect that does not fall under specific prefecture sectors; managing their email inbox
- Ensuring the organisation and secretarial duties of management meetings
- Carrying out various or specific administrative tasks
- Welcoming visitors to the prefect and answering telephone calls intended for them
- Providing support in case of holidays or illness at the prefecture's central secretariat - upon express request of the prefect
Desired profile
- Federal diploma, federal certificate or ES diploma with several years of professional experience
- Sensitivity to the politico-administrative environment and knowledge of public administrations
- Perfect command of French and good knowledge of German
- Good writing skills and proficiency in IT tools
