The position is attached to the Department of Women, Children and Adolescents , which aims to provide quality care tailored to the needs of women at every stage of their lives and to the health issues faced by newborns, children, and adolescents from birth up to the age of 16. It works on the development of cutting-edge services and specialist competence centres.
The general paediatrics service deals with the health problems of newborns, children, and adolescents until the end of their growth and contributes to maintaining health. It also ensures the coordination and postgraduate training of paediatricians.
Job Description
Within the general paediatrics service, you assist the chief physician in the administrative management and organisation of the service, in clinical, academic, and research areas, ensuring the interface between the various professional sectors.
You organise appointments, meetings, and seminars, managing the electronic calendar of the chief physician. You prepare files, write meeting minutes, and coordinate the follow-up of decisions made.
You manage correspondence independently. Your initiative allows you to analyse situations in order to propose response projects.
While responding to various requests, you successfully and autonomously carry out administrative activities related to your role such as managing the schedules (VRH) of senior doctors, clinic heads, and junior doctors, administrative management of private or faculty funds, organising medical congresses and symposia, and monitoring the budget allocated to the service and research.
Your proactivity enables you to perform logistical tasks arising from secretarial life, such as orders, hiring requests, expense reimbursements, and training requests.
Within the team, you develop a close relationship with your fellow medical secretaries and ensure continuity of service during absences. More generally, your service-oriented attitude makes you an agile person ready to apply your versatility to serve the institution by working in different departments as needed.
Qualifications
You hold a diploma from a business school and advanced administrative training such as a federal certificate as an executive assistant.
You have at least 3 years of successful experience in a similar position in an executive secretariat, ideally in the medical or public health sector. Medical terminology is easily understandable to you.
As the patient base is both local and international, you have perfect command of French, both spoken and written, and proven writing skills. You also possess very good written and oral knowledge of English (C1). Knowledge of a third language is an additional asset.
You hold the ECDL Advanced certification in Word, Excel, PowerPoint, Outlook and/or Web and have very good knowledge of the VRH software. Mastery of the software used at HUG (DPA, DPI, OPALE, GRECO and Winscribe) is a significant advantage.
Stress-resistant, you are very organised and have an excellent sense of priorities. You are flexible and able to adapt to different work environments and ensure the effective coordination of medical activities through your secretariat.
Meticulous, you are accustomed to handling confidential information with the utmost discretion.
Finally, you have a strong team spirit and actively contribute to collective success.
