About the job
For the PhD Office of the University of St. Gallen, a committed, highly organised and proactive individual is sought as an employee to strengthen our team from 1 May 2026 or by arrangement. The position is advertised at 50%, but with the option of a later increase to 80% from 1 January 2027.
The PhD Office is the contact point for prospective and current doctoral candidates at the University of St. Gallen. It supports doctoral candidates from admission to graduation in administrative matters. It also coordinates the various doctoral programmes and is the contact point for the lecturers.

Your tasks
- Comprehensive and independent handling of all administrative steps of the doctorate, from admission to graduation
- Correspondence and communication with doctoral candidates, professors and internal interfaces in German and English
- Coordination and collaboration with the administrative heads of the doctoral programmes
- Active participation in the implementation of projects for the strategic development of the PhD Office and doctoral structures (e.g. digitalisation of processes)
- Assuming responsibilities and task packages in mutual representation within the team
Your profile
- Excellent administrative and organisational skills as well as a structured and precise way of working
- High service and communication competence, both oral and written, in German and English
- Knowledge of university administration is an advantage, ideally in the area of doctoral or study administration
- Confident use of common office applications and affinity for digitalisation
- Proactive, solution-oriented and resilient personality with strong team skills
