The Zurich team is small and senior, with short decision paths — this role has direct visibility and impact.
We are looking for an organized, responsible, and proactive assistant who combines classic executive assistance to our Chairman & CEO with corporate and office support for the Zurich team — and, distinctively, with private and family support for the principal. This is a true right-hand role spanning both the professional and private spheres, suited to someone who enjoys variety, takes genuine ownership, and treats discretion as second nature.
Key Responsibilities
Executive Assistance to the CEO
- Book and manage international travel (flights, hotels, visas), both European and global
- Proactively manage the CEO's calendar across time zones, anticipating conflicts and protecting focus time
- Prepare meeting briefings, agendas, and follow-ups; track action items to completion
- Track and process expenses per the group's expense policy
- Act as first point of contact for the CEO's calendar and correspondence, exercising sound judgment on prioritization and access
Corporate & Governance Support
- Support board meeting logistics (scheduling, board packs, resolutions)
- Maintain document retention and archiving across group entities
- Track statutory and filing deadlines
- Liaise with external providers (fiduciary, insurance broker, external counsel, banks) on administrative matters
Private & Family Support
- Schedule and track personal appointments for the principal and family (medical, dental, and similar), including reminders and follow-ups
- Coordinate children's school administration and communications, extracurricular activities, and related logistics — largely in German
- Plan and book private and family travel and holidays
- Handle household administration: insurance policies, vehicle matters (registration, servicing, appointments), property-related paperwork, and coordination of contractors and service providers
- Manage personal errands, purchases, gifting, and restaurant and event reservations
- Serve as a reliable point of coordination between the office, the household, and the family
Office Management & Cross-Jurisdictional Coordination
- Support day-to-day operations of the Zurich office (supplies, facilities, visitors, mail)
- Assist with administrative coordination across the group's international entities
Candidate Profile
Required
- Experience as a Personal/Executive Assistant, Private PA, or in a comparable role supporting senior leadership, a principal, or a family
- Fluent English and German (written and spoken) — German is essential for schools, medical providers, and Swiss administration
- Experience organizing complex international travel
- High discretion; able to handle confidential legal, HR, financial, family, and household information responsibly
- Comfortable working closely with a family as well as an executive team, and able to move naturally between the two
- Proactive, hands-on, solutions-oriented; comfortable in a small, lean team without heavy bureaucracy
- Strong MS Office skills; comfortable learning new tools
- Valid Swiss work permit or EU/EFTA citizenship
Advantageous
- Prior experience in a family office, private household, or entrepreneur-led environment
- Familiarity with the Swiss school system and local administrative processes
- Additional languages (e.g., French)
Working Arrangements
This is an on-site role based in central Zurich during normal office hours. Given the private-support dimension, occasional flexibility outside standard hours is expected for time-sensitive personal or travel matters; this is managed reasonably and reciprocated with flexibility in return.
