Oppenheim Architecture Basel Office is seeking a skilled and ambitious Executive Coordinator / Office Manager to join our exceptional team. We are actively engaged in international high-end residential and hospitality projects in Switzerland, the Mediterranean and other sites across Europe. Oppenheim is located at Basel's Creative Hub - the Dreispitzareal where you will join a unique team of around 45 people from over 20 nations and participate in fascinating projects around the globe. Your tasks

As the Executive Coordinator and Office Manager, you will be at the heart of our studio’s operations. You will provide vital administrative support to our executive team and manage the day-to-day activities of our office, ensuring a seamless and efficient working environment.

Managing and maintaining executive and team schedules, you will organize meetings, appointments and travel itineraries. Coordinating executive meetings will be essential, involving the preparation of agendas, taking minutes, and following up on action items. Additionally, you will assist in planning and executing corporate events and initiatives. Overseeing daily office operations, you will ensure a smooth and efficient workspace. Managing office supplies inventory and placing orders as needed will be part of your responsibilities. Liaising with building management and vendors, you will ensure the office is well-maintained and issues are resolved promptly. Implementing and maintaining office policies and procedures will also fall under your purview.

Your profile

We're searching for a master organizer who thrives on multitasking. you've got at least 3 years of experience in a similar role, can communicate like a pro in English and German, You're tech-savvy with MS Office (Word, Excel, Outlook) and iOs and can handle sensitive information with the utmost confidentiality. Bonus point if you've worked in the architectural or design world before.
