Founded in 2025, the Swiss Brain Health Foundation (SBHF) works to advance and preserve brain health by connecting partners, translating scientific knowledge into action, developing recommendations, and collaborating with leading experts to address key challenges in science, medicine, and public health in Switzerland and beyond.
Your Tasks
As an executive assistant, you are a key point of contact for internal and external stakeholders in a dynamic organisation that is building up its operational foundations. With strong organisational skills, service orientation, and sensitivity to diverse needs, you ensure smooth collaboration and a professional appearance for the Foundation and associated organizations (International Alliance on Brain Health and Lancet Commission on Brain Health) during this formative phase.
Your responsibilities include:
- You act as a professional, reliable, and trusted point of contact for internal and external stakeholders.
- You ensure smooth administrative operations and manage core assistance tasks, including complex meeting scheduling, invoice handling, and expense management.
- You prepare high‑quality materials, briefings, presentations, and documentation for internal and external engagements.
- You plan and organise events, retreats, travel, symposia, and conferences, ensuring professional execution.
- You support administrative development projects and help establish and optimise new processes.
- You keep databases, files, and (online) communication accurate and up to date.
- You track key deliverables, follow up on action items, and contribute to operational excellence.
- You handle sensitive information with the highest level of confidentiality and professionalism.
Your Profile
- You bring solid experience in executive assistance and event management in dynamic, fast‑paced environments.
- You are familiar with complex academic contexts and navigate them confidently.
- You create structure, maintain oversight, and ensure smooth operational workflows.
- You have a high digital affinity and quickly familiarise yourself with new IT tools and systems.
- You bring a professional, helpful, and solution‑focused attitude to every interaction.
- You adapt quickly to evolving priorities and contribute to building and improving processes with pragmatic, hands‑on solutions.
- You communicate confidently in German and English.
