Our patented SMART PLACE system enables intuitive control of all building automation needs – from lighting and climate control to sauna settings – via a centrally installed touch panel or remotely using a mobile device.
Sounds interesting? Then become part of our team! We are looking for a Team Lead Admin, Finance, and HR support (80-100%), available immediately or by arrangement, who is eager to take on ambitious challenges, is highly motivated, and has a passion for technology.
This is a hands-on role for someone who enjoys keeping operations running smoothly, setting priorities, supporting colleagues and improving practical processes.
You will act as a central point of contact for management, employees and external partners. Alongside coordinating the team’s daily workload, you will personally handle key administrative, finance and HR tasks and ensure they are completed accurately, reliably and on time.
Your Responsibilities
Team Coordination & Administration
- Coordinate the day-to-day workload, priorities and follow-up of the Administration, Finance and HR support function.
- Provide practical guidance and support to team members, helping ensure consistent quality, clear ownership and timely delivery.
- Organise and continuously improve administrative processes, templates, documentation and internal workflows.
- Ensure smooth office and business administration and proactively resolve operational issues.
- Support management with organisational, administrative and coordination topics.
- Act as an interface between internal teams, management and external service providers.
- Prepare correspondence, reports, summaries, presentations and other decision-support materials.
Finance & Accounting Support
- Manage and perform day-to-day finance administration, including accounts payable and accounts receivable activities.
- Create and issue customer invoices and credit notes, maintain invoice records and follow up on outstanding receivables.
- Review and process supplier invoices, prepare payment runs and support cash and payment administration.
- Maintain accurate finance documentation and support account reconciliations and expense administration.
- Support month-end and year-end closing activities by preparing documentation and coordinating required information.
- Coordinate with external fiduciaries/accountants, banks, insurers and other finance-related partners.
- Ensure finance processes and deadlines are handled accurately and consistently.
HR Support & People Administration
- Provide hands-on HR administration and support across the employee life cycle.
- Coordinate recruitment administration, interview scheduling and candidate communication.
- Prepare and coordinate onboarding and offboarding documentation and activities.
- Maintain employee files, contracts, certificates, personnel data and other HR documentation with a high level of confidentiality.
- Coordinate payroll inputs, absences, social insurance administration and related information with internal or external payroll partners.
- Serve as a first point of contact for employees and managers on routine HR and personnel-administration questions.
- Support management with HR-related topics and help implement practical HR processes, policies and tools.
- ·Help ensure HR administration is complete, compliant, well documented and delivered on time.
Your Profile
- 7+ years of experience in a broad administrative or business support role in a dynamic company with exposure to finance and HR tasks.
- Previous experience coordinating colleagues, leading day-to-day priorities or acting as a senior point of contact; formal line-management experience is an advantage but not essential.
- Strong hands-on knowledge of office administration
- Practical experience with finance administration, including invoicing, accounts payable/receivable and payment processes is a bonus
- Practical experience with HR administration, employee documentation and recruitment/onboarding support is a bonus
- Excellent organizational skills and the ability to keep an overview while managing multiple priorities and deadlines.
- Independent, structured, reliable and service-oriented working style with a strong sense of ownership.
- Confident communication skills and sound judgement when dealing with employees, management and external partners.
- High level of discretion and sensitivity when handling confidential finance and personnel information.
- Near-native German, both written and spoken
- Fluent English, both written and spoken.
