 Tech Savvy Administrator (80-100%: as of June 2024, Zurich)

As a Tech Savvy Administrator you will 

  • handle providers’ invoices, customer contracts, generate and track invoices and expense reports using advanced Excel skills 
  • obtain and verify required financial information to enable payment to customers and targets (transaction monitoring) 
  • ensure an appropriate working environment by managing office supplies, meeting room bookings, refreshments, smooth running of office equipment etc. 
  • support team members with various administrative tasks (redirecting calls, queries, etc.) 
  • maintain files and records with effective filing systems 
  • assist in the administrative onboarding process of new employees and contractors 
  • update internal operations guidelines and working manuals, taking ownership of company-wide policies 
  • set up and organize internal and external meetings, conference calls and video conferences and ensure proper preparation of information for and briefing of involved parties 
  • take charge of team collaboration initiatives and event organization
  • provide tech support for the business team, managing internal tech infrastructure setup, access management, email setup, and troubleshooting 
  • manage and track what tools used across the organization 

A day in the life as a Tech Savvy Administrator: You will play a crucial role in ensuring the seamless functioning of our organization. Your responsibilities will encompass financial administration, including handling invoices and expense reports, as well as maintaining a well-equipped and efficient office environment. Your attention to detail will be crucial in organizing and updating files, supporting team members with administrative tasks, and overseeing the onboarding of new employees and contractors. Additionally, you will take ownership of internal operations guidelines and company-wide policies, contributing to the smooth running of our business. Your organizational prowess will extend to coordinating internal and external meetings, managing team collaboration, and organizing events. A key aspect of your role will involve providing essential tech support to the business team, ensuring the optimal setup and troubleshooting of internal tech infrastructure. 

 

Your qualifications

Skills: 

  • Accurate, reliable and able to deal with sensitive and confidential information 
  • Able to anticipate needs of (senior) stakeholders 
  • Strong attention to detail and accuracy in financial and administrative tasks 
  • Flexible and able to cope with ambiguity, drive tasks to completion 
  • Highly effective time management, planning and organizational skills, able to manage multiple tasks and set priorities 
  • Sensitive to multiple foreign cultures and interact with people at all levels of the organization 
  • Business fluent in English and German (written and spoken). Additional languages (e.g. French, Italian) would be a plus 

 

Education and Experience: 

  • Administrative or Business education or similar 
  • 3-5 years successful proven experience in providing support to management and teams 
  • Windows and MacOS systems support knowledge, Wi-Fi and passwords administration competences, NAS familiarity, ability to install peripherals and external devices 
  • Exposure to MS-Office, Google-Suite and Web applications
