About the job
As part of the replacement of a colleague retiring, we are looking for a secretary / executive assistant to complete our administrative team composed of two people and a junior assistant.
General mission
The person sought ensures the smooth administrative and organisational functioning of the fiduciary and constitutes one of the first points of contact with our clients, partners and collaborators.
They work closely with the second secretary as well as with all the fiduciary's collaborators.
Main responsibilities
- Telephone reception and welcoming clients
- Management of incoming and outgoing mail
- Management of general emails and forwarding to the relevant persons
- Organisation and follow-up of appointments
- Management of diaries and administrative support to partners and collaborators
- Preparation, formatting and proofreading of letters, reports and other documents
- Scanning, filing and electronic archiving of documents
- Creation and updating of client files
- Management of various administrative tasks related to mandates
- Monitoring deadlines and reminders
- Ordering supplies and general office management
- Collaboration in organising meetings, internal events and other company activities
- Replacement and support of the second secretary during absences or busy periods
Profile sought
- Commercial employee CFC or equivalent training
- Several years of professional experience in an administrative or secretarial role
- Experience in a fiduciary, law firm, bank, insurance or professional services environment is an advantage
- Excellent command of French, both spoken and written
- Good command of common IT tools, notably Microsoft 365 & Copilot
- Comfortable with digital tools and document management systems
- Very good organisational and prioritisation skills
- Precise, reliable and structured work
- Strong sense of confidentiality and discretion
- Excellent presentation and interpersonal skills
- Team spirit, availability and flexibility
- Ability to work independently and take initiative
