Assistant Services (60-80%)
As an experienced, customer-oriented and service-strong personality, you are the central point of contact for visitors, customers and employees, ensuring a professional, friendly and efficient reception and thus making a significant contribution to the positive image of our association. In addition, you assist in the Services area and relieve the specialist departments in day-to-day business.
Your tasks
- Ensuring a professional reception and telephone service
- Welcoming and caring for visitors as well as coordinating appointments
- Processing incoming and outgoing mail as well as managing emails
- Organising and supporting meetings, events and internal services
- Supporting the specialist departments with administrative and organisational tasks
- Coordinating external service providers (catering, facility services)
- Maintaining master data as well as filing and document management
- Planning resources and maintaining infrastructure
Your profile
- Completed commercial basic training as well as several years of professional experience in an assistant or comparable administrative function
- German or French at native speaker level as well as very good knowledge of the other language; knowledge of Italian is an advantage
- Confident handling of modern IT applications and digital working tools
- High service orientation, personal responsibility, independent working style and professional appearance
- Organisational talent, communication skills, reliability and discretion
- Willingness to work regular hours from 08:30 to 12:00 and from 13:30 to 16:30 as well as regular presence on site (home office by arrangement)
