Based in Porrentruy, in the heart of Ajoie, our Swiss subsidiary brings together marketing, industrialisation and production activities in the field of orthopaedic medical devices.
Are you an experienced Administrative Assistant looking for a varied role, with autonomy and responsibilities, within a small team?
Join X.NOV, an independent French group active for over 20 years, whose products are now distributed in 35 countries.
As part of a temporary replacement for an absent colleague and an increase in our activity, we are looking for an Administrative Assistant to strengthen our team.
Your tasks
- Write, format, file and archive administrative documents
- Prepare and monitor administrative files
- Track orders, invoices and update monitoring tables
- Organise internal and external company events
- Search for service providers, request quotes and organise necessary bookings: rooms, hotels, transport, caterers, etc.
- Manage invitations and participant lists
- Coordinate various service providers and contributors
- Ensure the follow-up of the schedule and budget as well as the smooth running of events
- Write internal and external communications
- Create and format communication materials: presentations, posters, flyers and invitations
Your profile
- Training in administrative management, executive assistance, communication, event management or equivalent training
- Proven experience in an administrative assistant role
- Experience in organising professional events is an asset
- Experience in corporate communication or in creating communication materials is appreciated
Key skills
- Fluency in written French and good writing skills
- Proficiency in Microsoft Office: Word, Excel, PowerPoint and Outlook
- Proficiency in Adobe tools for creating and formatting materials
- Excellent organisational skills and ability to manage priorities
- Rigour and attention to detail
- Good interpersonal skills and a service-oriented mindset
- Autonomy, responsiveness and ability to take initiative
- Ability to coordinate several contacts and activities simultaneously
