Job Description
- Provide professional administrative and organizational support to the Engineering Department, ensuring efficient day-to-day operations across the Zurich Engineering Centre.
- Coordinate calendars, meetings, workshops, town halls, leadership events, visitor logistics, travel arrangements, interviews, onboarding, and follow-up of departmental activities and action items.
- Prepare and maintain presentations, reports, KPIs, dashboards, meeting minutes, newsletters, organizational charts, and manage Engineering communication channels (Teams, SharePoint, newsletters).
- Maintain document management systems, databases, distribution lists, filing structures, and records in compliance with company policies and GDPR requirements.
- Support departmental operations including onboarding, training coordination, headcount tracking, organizational updates, recognition programs, anniversaries, team events, and internal communication initiatives.
- Coordinate office administration, including meeting rooms, office supplies, mail and courier services, while liaising with HR, IT, Facilities, Finance, Procurement, and supporting budget administration through purchase requests, invoices, and expense claims.
- Serve as the central administrative point of contact for the Engineering Department, fostering collaboration across teams, driving continuous improvement of administrative processes, and supporting additional projects and initiatives as required.
Qualifications
- Minimum 3 years of experience in administrative or project support, preferably within an international matrix organization.
- Excellent organizational skills with the ability to manage multiple priorities, work under pressure, and adapt to changing demands.
- Strong communication and interpersonal skills with the ability to build effective relationships across all levels.
- Proven ability to use initiative, exercise discretion, solve problems, and make timely decisions.
- High attention to detail with a methodical, accurate, and pragmatic approach.
- Advanced Microsoft Office skills with experience in document and database management.
- Fluent in business English; German or any additional language is an advantage.
