As a Personal Assistant, you will be a permanent employee of our Finance Team. In this position, you will be in charge of various administrative tasks as described below.

The role

  • Calendar management, scheduling meetings and conference calls incl. virtual data room preparation
  • Carrying out travel arrangements including flight schedules, hotel bookings, visa applications and logistics as required
  • Onboarding of new employees and External Consultants
  • Assistance with drafting documents and presentations
  • Co-ordination of deadlines and deliverables for the various stakeholders
  • Taking Meeting Minutes
  • Set-up of PO’s according to contracts and processing invoices for payment in P2P
  • Updating/maintaining Finance page in Core
  • Assisting in the planning/execution of events such as Conferences, Workshops etc.
  • Providing Ad Hoc support and assistance as needed, adapting to changing priorities and workload demands
  • Taking care of general administrative work, such as maintaining files, records and databases etc.
  • Covering Team colleague whilst on vacation or during regular day off 

 

Our ideal person

  • Self-motivated, enthusiastic and a true team player with a high level of trust and integrity
  • Strong organizational skills and has the ability to prioritize tasks and good accuracy and attention to detail
  • Strong command of Microsoft Office tool (especially Powerpoint, Excel)
  • Experience with Project Management and Process Improvement methodologies are an asset
  • Strong verbal and written communication skills
  • Ability to work under pressure

 

Minimum requirements

  • 1-3 years of experience as an assistant, preferably in a similar function
  • Fluent in English (corporate language), any additional language is an asset
  • Current Swiss B/C Permit or EU passport holder
