For our client, a well-established professional services company in the Lucerne region, we are seeking a dedicated administrative professional. This organization is known for its commitment to precision, compliance excellence, and maintaining the highest standards in document management and corporate governance. Your Responsibilities
- Monitor and process incoming correspondence through designated email channels, ensuring timely review and action
- Evaluate documents against established compliance checklists and route them to appropriate signatories based on authorization protocols
- Prepare signature-ready materials by printing messages with attachments and flagging signature pages for efficient processing
- Organize digital workflows by categorizing and filing incomplete submissions into designated folders for follow-up
- Coordinate document circulation by retrieving signed materials and delivering them to reception for subsequent handling
- Manage incoming mail by collecting original signed documents, digitizing them, distributing scans to specified recipients, and uploading files to the database
- Maintain the archive system by properly filing original documents in the designated storage area and organizing existing records
- Support additional administrative needs as requested by management to ensure seamless office operations
Your Profile
- Proven experience in administrative support, document management, or office coordination roles
- Strong organizational skills with exceptional attention to detail and accuracy in handling sensitive documents
- Excellent communication abilities in English (written and spoken); German skills are a valuable plus
- Proficiency with email systems, scanning equipment, databases, and standard office software
- Reliable and punctual with the ability to work independently onsite between 7:30 am and 6:30 pm
- Structured work approach with the ability to follow checklists and established procedures precisely
- Flexibility to work the equivalent of two days per week, either as full days or distributed across multiple days
