About The Role
ZEEN Tech AG is a Swiss startup revolutionizing the food industry with our next-generation, water-based frying and drying technology, that we export worldwide. As we grow rapidly, we're looking for passionate individuals to join us.
We are looking for an organized, reliable all-rounder to help run our administration, accounting, and quality assurance work day to day. From daily bookings and VAT declarations to office coordination and building up our quality management system, you will keep the engine room of the company running smoothly. Quality assurance is a core part of this role, not an afterthought: you will help shape how we document, control and certify our processes as we scale. You will work directly with our Head of Office & Administration, taking ownership of your own areas while we build clean, scalable processes as we grow together.
Key Responsibilities
- Daily Accounting: Handle daily bookings, accounts payable and receivable, and bank reconciliation in our ERP system (Microsoft Dynamics 365 Business Central), keeping the ledgers accurate and up to date.
- VAT, Payroll & Filings: Support periodic Swiss VAT (MWST) declarations via the ESTV portal, monthly payroll preparation, and Swiss social insurance processes (AHV/IV/EO, ALV, BVG, accident and daily-sickness insurance, family allowances).
- QA & Certification: Help build and maintain our Quality Management System and drive our path to ISO 9001 and other relevant quality and product-compliance standards (e.g. CE marking, food-safety and hygiene requirements). Own document control and registers, prepare for internal and external audits, and keep procedures and records accurate and in order.
- Invoicing & Payments: Issue customer invoices, process supplier invoices and payment runs, and follow up on open items and dunning.
- Office & Administration: Take care of general back-office tasks – correspondence, filing and document control, orders and supplier coordination, and supporting HR administration.
- Processes & Coordination: Keep our processes clean and well documented, coordinate across the engineering, production and back-office teams, and support the smooth running of daily operations.
Requirements & Qualifications
- Education: A commercial or accounting background (e.g. KV / EFZ, fiduciary or comparable), or a quality/administration background with relevant experience. Equivalent practical experience is just as welcome.
- Experience: Some years in a comparable accounting, administration, or back-office role.
- Core Skills: - Solid grounding in bookkeeping and Swiss accounting, with hands-on experience in daily bookings, AP/AR and bank reconciliation.
- Practical knowledge of Swiss VAT (MWST) and the ESTV filing process, plus a good understanding of Swiss payroll and social insurances.
- An organized, structured approach to documentation and administration; experience with quality management systems, document control, or product-compliance is a clear plus.
- Confident with MS Office and comfortable learning new software; ERP experience is a clear advantage. - Mindset: You are highly structured, detail-oriented, and a true team player. You take pride in precision and clear communication.
- Communication: You communicate clearly, work well with colleagues and external partners, and are comfortable to work independently or in support of the team.
- Languages: Fluent in English and German (written and spoken). Any additional language is a plus.
Nice to Have
- Experience with Microsoft Dynamics 365 Business Central (not required – we are happy to train the right person).
- Experience in Quality Assurance / ISO processes or other compliance processes (e.g. CE marking, food-safety standards), internal audits, or document control.
- Prior experience in a startup or SME, or exposure to HR administration.
