For our cleaning department, we are looking for a committed and highly organised person to support our department manager in recruitment, employee care, and the entire personnel administration.
mr. clean facility solutions ag is an established company in the fields of building cleaning and facility services. In this role, you ensure that our personnel processes run smoothly: from recruitment and onboarding of new employees through ongoing personnel administration to the correct and timely preparation of payroll data. You report directly to the department manager of cleaning and work closely with site managers, HR, and payroll accounting.
Your Tasks
1. Recruitment and Onboarding
- Create, publish, and manage job advertisements on suitable platforms.
- Review applications, contact applicants, and organise and conduct interviews.
- Recruit new employees for cleaning in collaboration with the department manager.
- Prepare employment contracts and contract amendments according to internal guidelines and considering the collective labour agreement of the cleaning industry.
- Prepare onboarding documents, check for completeness, and enter personnel data into the system.
- Coordinate the introduction of new employees with the responsible site managers and provide on-site support if necessary.
2. Personnel Administration and Employee Support
- Keep personnel files and master data in the ERP system up to date, complete, and accurate.
- Prepare employee correspondence, confirmations, as well as interim and work references.
- Prepare termination letters after decisions have been made and handle administrative processing of departures.
- Support employees with questions about holidays, working hours, absences, and personnel documents.
- Organise probationary and employee interviews according to internal guidelines, conduct some independently, and document them.
- Coordinate training for cleaning staff and document participation.
3. Working Hours and Payroll Preparation (Payroll Interface)
- Check working hours, reports, holidays, and other absences of hourly-paid employees. Verify target hours as well as overtime and undertime and clarify discrepancies with the responsible parties. Prepare all hours and payroll-relevant information completely, correctly, and on time for the monthly payroll run. Proactively coordinate missing information and necessary corrections with employees, site managers, and payroll accounting. Create and send reports and hour summaries according to internal procedures.
4. Holiday Planning and Staff Deployment in Case of Absences
- Maintain holiday overviews and coordinate holiday planning with the responsible site managers. Review holiday requests and approve or reject them within the delegated authority.
- Organise holiday cover for the entire client base of cleaning, coordinate with site managers, and monitor planned deployments.
- Ensure that agreed cover assignments are reliably fulfilled and organise replacements in good time in case of absences.
- Coordinate replacement staff quickly and flexibly in case of illness and other short-term absences.
- Work closely with the department manager, site managers, HR, and payroll accounting.
Your Profile
- A commercial education or a comparable qualification or practical experience in personnel administration.
- Experience in recruitment and employee support, ideally with hourly-paid or industrial employees.
- Good knowledge of time recording and experience in preparing payroll data.
- A further qualification as an HR assistant is a great advantage.
- Very good German skills in spoken and written form; additional language skills, especially Portuguese, Spanish, or Italian, are a big plus.
- Good user skills in Outlook, Word, and Excel as well as enjoyment in working with ERP and time recording systems.
- An exact, structured, independent, and resilient working style.
- A friendly, obliging, and at the same time assertive manner.
- Discretion and a sense of responsibility in handling confidential personnel data.
- High flexibility, organisational talent, and the ability to keep an overview even with short-term staff absences.
- Experience in the cleaning industry is an advantage.
