What you will achieve with us
Elegant gala dinners, exclusive weddings, high-profile business events and bespoke celebrations – across two of Switzerland’s most renowned establishments. As Event Planning Manager, you accompany the entire planning process from enquiry to operational handover and ensure that every event is precisely planned, efficiently coordinated and flawlessly executed at both the Kulm Hotel St. Moritz and the Grand Hotel Kronenhof Pontresina.
Your responsibilities:
- Operational detailed planning & implementation: Seamless takeover of confirmed bookings from Sales; detailed coordination of all processes including room concepts, F&B procedures, technology and individual guest requests.
- Hub within the house: Precise creation and timely distribution of Function Sheets (BEOs) as well as daily close coordination with Banqueting, Kitchen, Service, Technical Services and Front Office of both establishments.
- Presence & on-site support: Contact person for organisers and clients during the event on site, conducting briefings on location and ensuring smooth operation.
- Interface: Preparation and leadership of internal event meetings to ensure all operational departments are perfectly briefed and prepared.
- Leadership & quality: Leadership and development of the Event Coordinator as well as co-design of clear operational standards and templates.
- Follow-up: Recording all services provided in the PMS/CRM to prepare error-free final billing.
Who you are
- Education & experience: Ideally a bachelor’s degree or training in hospitality, event management or business administration, as well as at least three years of experience in hotel events or event planning, ideally focusing on meetings, incentives, weddings and private celebrations in the luxury segment.
- Organisational talent: Exceptional attention to detail, a confident sense of priorities and the ability to manage multiple projects simultaneously.
- Process & system knowledge: Proficient use of PMS, CRM and event management systems as well as excellent Microsoft Office 365 skills.
- Personality: Reliable, solution-oriented and resilient; you build sustainable relationships with demanding guests as well as all operational departments.
- Language skills: Fluent and stylistically confident German and English, both spoken and written; additional languages are an advantage.
- Start date: October or by arrangement.
